Privacy Policy

This site is operated by F4 Flag Football (“F4,” “we,” “us”). You can reach us at hello@f4flag.com or (615) 982-4075, or by mail in Williamson County, TN. F4 is the operator responsible for the information described below.

We collect only what we need to run the league. A parent or guardian provides this through their account and the registration forms:

• Parent/guardian account: email address, phone number, notification preferences, and an optional profile photo.
• Child profile (entered by the parent/guardian): the child’s name, date of birth, gender, shirt size, medical notes, emergency contacts, and — only if the parent consents — a photo.
• Registration and payment: which programs a child is registered for. Payments are processed by our payment provider (Stripe); we do not collect or store full card numbers.
• Basic technical data: standard information your browser sends (such as device/browser type) needed to operate and secure the site.

We do not knowingly collect more information from or about a child than is reasonably necessary to participate in our programs.

We collect information directly from the parent or guardian who creates the account and completes registration. Children do not sign in or submit information to us on their own.

We use the information to:

• Operate the league — build rosters and teams, schedule games and practices, and manage registrations.
• Keep participants safe — provide coaches with the emergency contacts and medical notes needed for their own team, and respond in an emergency.
• Communicate with families about schedules, updates, and their account.
• Process registration fees and administer scholarships or payment plans.

We do not use children’s information for targeted advertising, and we do not sell personal information.

A parent or guardian creates the account and enters all information about their child. Providing that information is how consent is given for the collection and use described here. If we ever want to use a child’s information in a materially new way, we will seek consent first.

We share personal information only as needed to run the league:

• Service providers who help us operate the site under contract — for example, cloud hosting and storage (Amazon Web Services), payment processing (Stripe), content management (Sanity), and email delivery. They may use the information only to provide services to us.
• Coaches, who see the roster for their own team, including the child’s name and the emergency and medical information needed to keep players safe.
• When required by law, or to protect the safety of a child or others.

We do not sell personal information and we do not share it with third parties for their own marketing.

A child’s photo is collected and used only if the parent or guardian consents when creating the profile. You can decline, and you can withdraw consent at any time by editing the child’s profile or contacting us.

As a parent or guardian, you can at any time:

• Review the personal information we have about you and your child.
• Correct or update it through your account.
• Refuse to allow further collection or use of your child’s information.
• Ask us to delete your and your child’s information.

You can manage most information directly in your account, or contact us at hello@f4flag.com and we will help. Choosing not to provide certain information may mean a child cannot participate in some programs.

We keep information for as long as needed to run the league and your family’s relationship with us, and to meet legal or record-keeping obligations. When you ask us to delete information, or when it is no longer needed, we delete it.

We use reasonable safeguards, including encrypted storage and access controls that limit who can see family and child information. No method of storage or transmission is completely secure, but we work to protect your information and to limit access to those who need it.

We may update this policy from time to time. We will post the updated version here and change the “Last updated” date above. If we make a material change affecting children’s information, we will take additional steps as required by law.
